Evendale Recreation Commission
January 16, 2014

Called to order at 7:42am

Roll Call: John Doviak, David Nichols, Kevin Ralston, and Bill Puthoff
Excused Absent: Georgia Bergan, Greg McCart, Kirsten Lucas, and Mary Teufel

Nomination of Chair and Vice-chair: none, because of lack of a quorum

Recognition of Visitors: none

Approval of Minutes: postponed, no quorum

Additions to the Agenda: none

New Business:
a. Village website demo/discussion
  • A brief demonstration of the re-designed website was held to review the Recreation site.  On January 7th, a meeting was held with the council committee to discuss the website.  Additions discussed at that meeting have been added, and were shown to Commission members present, in addition to staff table, program listing, sports links, and more. On the facilities page, the suggestion was made to add the dates of the pool season, which will be done.
Old Business:
a. Lifestyle Essentials’ Monthly Report
  • Recent questionnaire posted by Lifestyles had ten respondents; not many, however a general response through many of the questionnaires was the amount of time Lifestyle personnel spend behind the desk rather than assisting patrons. This, and all the results, will be discussed by the Lifestyle staff and owner at a meeting this Sunday (Jan. 19).
b. Evendale Bike & Pedestrian Master Plan
  • The department has completed a Five Year Master Bike & Pedestrian plan. New Commission members were given a copy of this plan. The Five Year Master plan will be presented to Village Council this year. The adoption of the Evendale Bike & Pedestrian Master Plan will allow the village to apply for grants to help fund this large, long term project. Some items may be accomplished during road projects, but others cannot; one example of this is the pathway planned along the Mill Creek.
  • The regional group, CACC (Connective Active Communities Coalition), has been developing their own plan that includes the department’s plan.
Director’s Report:
  • Chris Patterson, resident and member of the Village Planning Committee, attended the Active Adult and Senior Adult January Meet and Greet program. Chris distributed a survey seeking the level of interest of the attendees for senior housing here in the Village. David had a survey copy, and passed it among the commissioners.
  • Current contracts for the pool management and the fitness management end December 31, 2014; therefore request for pricing (also referred to as bid requests, or RFP’s) will go out in October of this year.
  • David has a questionnaire specific to the department which he intends to send out this quarter. Copies were given to commissioners for them to review and complete. Councilman Puthoff reminded us to contact the residents who do not use the center (except for voting). David has taken this into account in the past with other questionnaires and plans to mail out copies, in addition to having them available in the center. We are also looking into having the questionnaires available through the website.

Open Discussion:
The roof replacement project on the south end of the Recreation Center will begin soon. The company is currently finishing the Fire Department; then they move on to this roof. Concerns regarding the pitch (or metal) roof, and leaking, will be addressed.
